The 48-Hour Scoping Call: What to Bring and What to Expect

Our scoping call to signed contract turnaround is 48 hours. That's only possible if the call itself is structured right. Here's exactly what we cover, in order, and what to bring so nothing slows it down.

A 48-hour contract turnaround sounds aggressive until you see what actually happens in the 30 minutes before it starts. It's not fast because we skip diligence — it's fast because the scoping call is structured to get to a real answer in one sitting, instead of the usual back-and-forth of "let us get back to you."

Here's exactly what that call covers, in order, and what to bring so nothing slows it down.

What we cover, in order

1. The workstream, not the headcount. We start by asking what ships, not how many people you think you need. "We need more engineers" gets redirected immediately to "what does done look like, specifically." This is the single question that determines everything else on the call.

2. The constraint. Time, budget, or scope — which one is actually binding? A fundraise deadline scopes differently than a flat budget ceiling, which scopes differently than "we just need this built eventually, correctly." We ask directly rather than inferring.

3. What's already true. Existing codebase, existing team (if any), existing architecture decisions we need to work within or around. This isn't a deep technical audit on the call itself — it's enough to know whether we're extending something or starting clean.

4. Pod composition. Based on the above, we propose a pod type — Product, Engineering, QA, or Data & AI — or a composite. This is where "I need a senior backend engineer" usually turns into a more accurate picture of what's actually needed to hit the outcome.

5. Elastic expectations. Before the call ends, we agree on what scaling looks like for your specific engagement — does the pod grow for a defined push, hold steady, or start small and grow with scope (the way it played out in our Industrial AI case study)? Naming this now avoids friction later.

6. Timeline commitment. We state, on the call, what the 48-hour path to a signed contract looks like for your specific scope — not a generic promise, the actual next steps.

What to bring

You'll get more out of 30 minutes if you show up with:

  • A one- or two-sentence description of what ships. Not the whole roadmap — the next concrete outcome.
  • Your actual constraint, named honestly. "We don't really have a deadline" is a fine answer, but say it directly rather than implying urgency that isn't real.
  • Whatever exists already — a repo link, an existing team's org chart, a product spec, even a rough Figma file. Anything that shortens the "what's already true" step.
  • Who else needs to be in the loop for a contract to get signed within 48 hours. If procurement or a co-founder needs to sign off, say so up front — that's a real constraint on the timeline, not a formality.

What slows the process down

In practice, these are the things that turn a 48-hour turnaround into a two-week one:

  • Scope described as a role ("we need a senior full-stack engineer") instead of an outcome. We'll redirect on the call, but it costs time if it isn't resolved before we move to pod composition.
  • No one on the call with authority to actually greenlight a contract. Scoping can happen without that person present, but signing can't.
  • Vague answers to the constraint question. "Whenever it's ready" isn't a constraint — it's the absence of one, and it usually means the real constraint hasn't been surfaced yet.

After the call

If scope is clear and the constraint is real, you'll have a proposed pod composition and a contract within 48 hours. If scope isn't clear yet, that's a fine outcome too — better to spend another day narrowing it than to staff a pod against a workstream that isn't real yet.
